Privacy Statement for the Landscape Trust in general
The Landscape Trust is committed to protecting your privacy. This notice is made in the light of the requirements of the General Data Protection Regulation 2018 to advise you how we use your personal information. For information specific to your privacy on this web-site, please refer to the Online Privacy Statement below.
When do we collect personal information?
We will obtain personal information from you when you:
- Become a member of the trust
- Book an event such as a walk, or conference place
- Sign up to volunteer
- Contact us by any method, including letter, email and telephone
- Provide an article for Keer to Kent (if not already a member)
- Make a purchase from our on-line shop
What personal information do we collect and why?
- We usually only collect basic personal details such as your name, e-mail address, postal address and telephone number(s)
- When you make a purchase from our on-line shop, we collect whatever details are necessary to process your purchase transaction and deliver your goods. This information is usually confined to your name, address and telephone number. You payment method details are processed via our site and passed via secure connection to our payment portal partners for processing. For your security, no payment details are retained on our own site or servers.
- If you are volunteering to work on our reserves, we may ask you to provide us with sensitive personal data, such as medical details and health circumstances for use in the event of emergency and for insurance purposes. We always treat this information in the strictest of confidence and only ever use it for the purpose for which it is collected
How do we use your personal information?
We will use your personal information for the purpose of fulfilling our objectives. Including:
- delivery of our journal, Keer to Kent
- providing you with information or products which you have requested
- advising you about forthcoming events
- administering events which you attend or have booked to attend
- letting you know about important updates to sessions you have booked (such as an event or volunteering task being cancelled)
- giving formal notices regarding the Annual General Meeting, or similar meetings called in accordance with the Constitution
- appeals for funds on behalf of the Trust, which are subject to separate conditions of operation available on request.
Where we are processing data with your consent (such as on our e-mail list) you have the right to withdraw this consent at any time. You can do this using the contact information below.
How do we protect your personal information?
We take all appropriate measures to ensure that the personal information that you disclose to us is kept safe and confidential. All payment details are passed directly via secure connections to our trusted payment partners and no such details are retained by us.
Do we share your information with anyone else?
We only share your information with others:
- when required to do so by law
- in cases of emergency such as sharing your medical information to healthcare workers if the need arises whilst you are volunteering for us and in order to ensure you receive appropriate care
- in order to process the payments that you have authorised us to take
- to enable our printers to mail out copies of Keer to Kent or other volume mailings to which you have subscribed as a member. For this purpose, we supply only your name and address to our printers and they destroy this information once it has been used for the purpose intended.
We will never sell your information.
What rights do you have over your information?
You have the right to:
- ask for a copy of the information we hold about you
- have any inaccuracies in your information corrected
- ask us to erase your data entirely
- object to anything we do with your data
- ask us to restrict how we use your data
However, please note that depending on why we collected your data in the first place, some of these rights may not apply in full.

We always aim to resolve complaints to the satisfaction of everyone involved, but if you are unhappy with something we have done with your data, you have a right to complain to the Information Commissioner’s Office (ICO). The ICO is an independent regulator with the power to investigate your complaint and instruct us to take remedial action if necessary.
Notices and revisions
We reserve the right to amend this privacy notice at any time. However, we take your privacy very seriously and will never change our policies or practices to make them less protective of your personal information.
If we make any changes to this policy which significantly affect you, we will notify you directly, normally through the Trust journal, Keer to Kent.

What personal information do we collect and why?
IP address
When accessing our site, your IP address may be collected for spam detection or analytical purposes.
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. This only applies to visitors who have an account on the site.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) or other personal information included. Visitors to the website can download and extract any data from images on the website.
Contact forms
We do not store on the website any of the information you supply through our contact forms. The information you supply via the contact forms is emailed to its intended recipient and then destroyed on the website. The recipient may retain this information securely for purposes of interacting with you regarding the comments or questions you have submitted but will not share the information with anyone else, other than for the purpose of processing your request, comment or enquiry.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
